For mail requests, write out the details of the record: full name on the certificate, date of birth, city of birth, your relationship to the person named, and your return address. Include a photocopy of your ID and a check or money order for the fee. Do not send cash. Mail your request to the Norman County Recorder at 16 East Third Street, Ada, MN 56510.
The Minnesota Department of Health offers state-level ordering at health.state.mn.us/people/vitalrecords. Online orders go through VitalChek at vitalchek.com, which charges a service fee on top of the certificate cost. This is a good option if you cannot come to Ada in person.
Note: State law under Minn. Stat. § 144.225 limits who can get a certified copy. You must be the person named, a parent, legal guardian, or an authorized representative.
Norman County Birth Certificate Fees
Norman County charges $26 for a certified birth certificate. Each additional certified copy requested at the same time costs $19. These fees follow the state schedule under Minn. Stat. § 144.2255. Payment is accepted by cash, check, money order, or credit card. If no record is found after a search, you may not receive a full refund since the fee covers the search as well as the copy.
If you need several copies, it is worth ordering them all in one request to take advantage of the lower price on additional copies. For example, two certified copies at the same time would cost $45 instead of $52 if ordered separately.
Older Norman County Birth Records
Norman County's birth records go back to April 1879. Records from the earliest years of the county may have limited detail compared to more recent ones. The public viewing station at the recorder's office lets you look through old index books and find entries before ordering a formal copy. This is especially helpful for family history research involving names that may have changed spelling over time or where the exact birth date is unknown.
The Minnesota Historical Society holds genealogical records for many counties, including older vital records that have been transferred to public archives. Their research guide for birth records is at libguides.mnhs.org/vital/birth. If the event happened more than 125 years ago, records may be available through the Historical Society's collections. The state directory of county recorder offices is at health.state.mn.us/people/vitalrecords/registrars.html and can help you confirm contact details if they have changed.
